Privacy Policy

This Privacy Policy explains what information BotBiz collects, how it is used, who it is shared with and how you can control it.

Information we collect

• Account information: name, email address, phone number, company details and login credentials you provide.
• Customer conversation data: messages, contacts and media that you and your customers exchange through the channels you connect (WhatsApp, Instagram, Facebook, Telegram, website chat).
• Usage and device data: log files, IP address, browser type and pages visited, used for security and to improve the service.
• Billing data: payment is handled by our payment providers; we do not store full card numbers.
• Google user data: only if you connect your Google account, as described below.

How we use information

• To provide, operate and maintain the service you signed up for.
• To send service messages, support replies and security notices.
• To detect fraud and abuse and to keep the platform secure.
• To improve and personalize the service.

Google user data we access

If you choose to connect your Google account, BotBiz requests the following permissions. We request only these, and only use each one for the feature stated.

• Email address (https://www.googleapis.com/auth/userinfo.email)
  Data: The email address of the Google account you connect.
  Why: To show which Google account is connected and to identify the connection when you sign in with Google.
• Basic profile (https://www.googleapis.com/auth/userinfo.profile)
  Data: The name and profile picture of the Google account you connect.
  Why: To display the connected account in your workspace and to complete sign in with Google.
• Google Sheets (https://www.googleapis.com/auth/spreadsheets)
  Data: The spreadsheets you choose to connect: their sheet names and rows. The app can create a spreadsheet and append or update rows.
  Why: To save leads, form responses and conversation data to your spreadsheet and to read rows back for automations, only when you set up an automation that uses Google Sheets.
• Google Calendar (https://www.googleapis.com/auth/calendar)
  Data: Your list of calendars and the events in the calendars you choose. The app can list, create and update events.
  Why: To book, reschedule and show appointments and to check availability, only for the calendars you connect.
• Google Contacts (https://www.googleapis.com/auth/contacts)
  Data: Your Google contacts: names, phone numbers and email addresses. The app can search, read and create contacts.
  Why: To save new customers to your Google Contacts and to match a customer with an existing contact, only when you turn contact sync on.

How we handle Google user data

BotBiz's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. See the Google API Services User Data Policy.

• We only request access to Google data when you click Connect Google, and you can choose which calendars and spreadsheets to use.
• We use Google user data only to provide the features you turn on. We do not use it for advertising, and we do not sell it.
• We do not allow humans to read your Google user data unless you give us explicit permission, it is needed for security or support you asked for, or the law requires it.
• We do not use Google user data to develop, improve or train generalized AI or machine-learning models.
• Access tokens are stored encrypted. Only the systems that run your connected features can use them.
• You can disconnect Google at any time in the app, or revoke access at the Google permissions page. When you disconnect, the stored tokens are deleted and we stop reading your Google data. You can also ask us to delete data we copied from Google by emailing our support address.

Sharing of information

We do not sell your personal information. We share it only with service providers that help us run the service (hosting, email delivery, payments, messaging channel providers you connect, and AI providers for features you turn on), when the law requires it, or with your consent.

Data retention and deletion

• Account information is kept while your account is active. You can ask us to delete it at any time.
• Google user data and tokens are kept only while Google is connected. When you disconnect, or revoke access, the tokens are deleted and we stop reading your Google data.
• Log files are kept for up to 6 months for security and analytics.

Security

We protect data with encryption in transit and at rest, role-based access control, tenant isolation and regular security reviews.

Your rights

Depending on where you live, you may have the right to access, correct, delete, export or restrict the use of your personal data, and to withdraw consent. Contact [email protected] to exercise these rights.
